Special patron application instructions

  • Ask patron for 2 forms of I.D. At least one being a picture I.D.
    • Search for them by name in Sierra to see if they already have an account in our system
      • If they do, the patron must use that account.
        • If their account is expired, it can be renewed
  • Give blank application to individual to fill out–make sure you can read their name and other items. Also hand them a special patron Fact Sheet (it’s also located in the teal plastic special patron bin).
  • Check Denied Patrons List: A list of patrons who owe money to the Library is included in the teal plastic bin. Check list to make sure they are not on it; if they are, they cannot be issued a special patron card until their balance is paid in full.
  • Under the Check Out (Circulation Desk) function, click the “New” button which is located on the top, right-hand portion of the screen
  • Select patron type: If they are an SU student, assign them the patron type of SU Special Patron. If they are not, issue them the patron type of Special Patron. (Note: if they are students or staff or faculty at Le Moyne, they MUST get a Dolphin card, and should not be issued a special patron card.)
  • Expiration date: two years from today. Enter in the following format: mm/dd/yyyy
  • Patron name: Enter patron name. Enter in the following format: Last name, first name
  • Address: Physical address. Enter the Street # number, name, and Apt /Bldg # (if applicable) on the first line and the city, state, and zip code on the second line. Address2 is used for their Mailing, Business or School address. (Note: Business or school address is not required. Mailing address is also not required if it is the same as their physical address.)
  • Telephone number: Please enter phone number in following format: 000-000-0000
  • PlN: Please recommend that the patron use the last four digits of their phone number for their initial PIN to login to their Library account and Library resources.
  • University I.D.: You can leave this blank. The Access Services Supervisor will later enter a fake I.D# from the list and write it on the form.
  • E-mail: Encourage the patron to give us an email address, which is needed for sending out notices. If not given, notices will be sent by U.S. Mail. To enter select “insert” button and from drop down menu select “z Email Addr” (at the bottom of the list). Repeat email address back to patron to ensure we have it entered correctly.
  • Driver’s license: You are not required to enter this. It will be entered later by the Access Services Supervisor from the special patron application. Make sure the number is legible and the state is noted, especially if it is not from New York.
  • Barcode #: Blank cards are kept in the brown box. Retrieve one and scan or key the barcode number into the record. Write the barcode on the application form.
  • Once the patron has completed filling out the special patron application write in the barcode number, expiration date, picture I.D info and form of second identification on the application.
    • Picture I.D: Driver license – write the state and the number on the form. If passport, write country name and the passport number.
      • The Access Services Supervisor will input this information into the system.
    • Second I.D: Write down what you looked at (no credit card numbers!)
  • Save completed record!
  • Approved by (Lib staff sign:) Sign/print your name on the form, and date it. This means you are assuring that you verified the information on the form and that it is legible.
  • Place completed applications in box behind Completed Applications card. The Access Services Supervisor then takes them, inputs the data (other than name, address, and barcode, which you have input) into Sierra patron record.
  • If you have any questions about signing up a special patron, ask the supervisory staff person or librarian on duty for help!

Special patron renewals

Steps involved in renewing a special patron card:

  • Pull the original application from the completed special patron application box located in the top right drawer of the grey filing cabinet behind the library services desk.
    • Ask the patron if any of the information on the form has changed
      • Verify address, phone number, etc.
    • If there are any updates to their contact information, write that on the form
  • Bring up patron record in Sierra
    • If there were any changes to their contact information, update their patron record to reflect this as well
    • Extend the expiration date to two years from the current date
  • Note: Special patrons with billed items on their account will not be allowed to renew their membership. They will also be unable to get a new card if their account has been sent to the Collection Agency at any time.

Le Moyne student and faculty borrowing privileges at SU

Le Moyne students and faculty can sign up for borrowing privileges at Syracuse University. Student's borrowing privileges will last one semester and faculty's will last one year. If a faculty member or student inquires about borrowing privileges, please call over a librarian to assist. If there are no librarians available, please call over a supervisor. Please note that students are unable to sign someone up for borrowing privileges at SU. If there are no librarians or supervisors present, the patron will need to come back during a time where they are available.

Instructions for librarians/supervisors

  • Student applicants
    • In order for students to gain borrowing privileges at SU, the following must be done:
      • Student must complete a "request for borrowing privileges from Syracuse University Library" application and have the application approved by a librarian/supervisor
      • Once the application is approved, the librarian/supervisor will fill out the "borrowing privileges–S.U. Bird Library" card and emboss it
      • The student's name and the date will be recorded in the note book and a request number will be issued
        • That request number will be recorded in the card and application
      • The application will be filed in the box
      • The student will be given the embossed card to take to Syracuse University
  • Faculty applicants
    • Faculty do not need to complete an application in order to gain borrowing privileges
    • In order for faculty to gain borrowing privileges at SU, the following must be done:
      • A librarian/supervisor will fill out the "borrowing privileges–S.U. Bird Library" card and emboss it
      • The faculty member's name and the date will be recorded in the note book and a request number will be issued
        • That request number will be recorded in the card
      • The faculty member will be given the embossed card to take to Syracuse University

General information

People who are not affiliated with the college can sign up for special patron cards and use our resources.

They do not have all of the same privileges a student or employee of the college would have though.
