Library Services Student Assistant Guide

Different Types of Reserves

Reserves come in two main forms...electronic reserves and physical reserves.

  • Electronic Reserves
    • These reserves come in an electronic format and can be retrieved from anywhere with internet access
    • Please note that you, as a library service desk worker, do not need to pull up the electronic reserve for the patron in order for them to view it, they can follow these steps on their own. These instructions are just being provided so you can show a patron how to access this content.

Steps on how to retrieve an electronic reserve:

  1. Search by course name/no or professor's last name in either the catalog or course reserve page
  2. Select the appropriate course
  3. Click on the reading
  4. User will be prompted to log in with either their campus computer account or I.D. card number
  5. Once that is done the electronic reserve will automatically open
  • Physical Reserve
    • These reserves are available in a physical format and can be retrieved from the reserve shelf behind the library services desk
    • There are four main types of physical reserves (book reserves, anatomy model reserves, video reserves, and textbook reserves) all of which are housed behind the library services desk
    • Loan period
      • Book & textbook reserves
        • 2 hours
      • Anatomy model reserves
        • 2 hours
        • Limit of one model per student
      • Video reserves
        • 3 hours
    • All of these items MUST stay in the library. Under no circumstances are patrons allowed to leave the library with these materials
      • Exception to rule: professors may take out video reserves
        • It is very important to extend the due date for them for up to 5 days. Please make sure they realize video is on a reserve basis and students will be coming in to watch it.
    • Steps on how to retrieve a physical reserve:
      • For book and video reserves, search by course name/number or professor's last name in either the catalog or course reserve page and select the appropriate course. For textbook reserves search the library's catalog by title and/or author or through the textbook reserve page
      • From the list, locate the call number of the reserve item the patron wants to check out. The call number will be displayed under the call number field
      • Go to reserve shelf and retrieve the item
      • Check out item to patron, informing them how long they have with the reserve item and that they can't leave the library with
  • Note: Once you have the course record pulled up, both electronic reserves and physical reserves will show on the same page. The way to tell them apart is in the format field.  Electronic reserves will say "*ELECTRONIC COPY AVAILABLE*" in this field while a physical reserve will either display nothing or, if it's currently checked out, it will display the item's due date.

Professors Submitting Reserve Requests

In order for a professor to place something on reserve, they need to complete a reserve request form. These forms can be located from the faculty tab of the course reserve page. Reserves cannot be accepted without a form having been submitted. If a professor has a question and would like to speak with someone regarding their reserves or submitting a reserve request, please have them speak with a supervisor.
