How To Book an Item

BOOKING A VIDEO

  • How to access Media Booking Request Form
    • Direct the patron to the form as they should be the ones filling out the form or, if they need help, we can help them.
    • Go to Library Home page and click on the Library Services tab. A drop down menu will appear. Click on Library Services (more...)
    • On Library Services page, click on Library Services Forms.
    • Click on the Media Booking Form to launch the Media Booking Request Form.
  • How to fill out the form
    • Make sure you check our catalog to ensure the item is available and fill out the Media Booking Form while the individual is still there or on the phone with you or get a contact number in case there is a problem.
    • Note on the form if the patron will be picking up the media themselves or if it to be dropped off at the Faculty Copy Room (RH 246).
      • Check to see if the item is booked for anyone else for that date and time.
      • Double-check the information that is given to you by the patron—READ IT BACK TO THEM!
    • If the patron is giving less than one week’s notice, be sure that the item is physically in the Library.
      • If the item is checked out, tell the patron that the person who has it checked out is entitled to the item for 5 days.
      • Do not give out the name of the borrower.
      • The Services Desk staff will try to contact the patron.
      • Leave a detailed note (include date and your name) for the Services Supervisor. Ask the patron to call during the weekday to verify that the item is available for class if they does not hear from us.
    • Once the form is filled out, submit it.

General Information

DELIVERY OF BOOKED MEDIA

  • Every weekday between 8:30 and 9:00 am, the Desk B student assistant is responsible for making any deliveries to and pick-ups from AV (Faculty Copy Room #246).
  • Print out booking slips

Processing Books and Printing Booking Slips:

  • Choose printer (LP 506).
  • Go to FUNCTION Box in Sierra and drop down to Bookings Maintenance
  • There are two sides to the screen. Upper left side of the screen is Location (where you search for videos to be brought up) and the upper right side of the screen is Date (where you would input today's date to search by).
  • Under Location, choose ALL if it is not already highlighted.
  • Go to date (right) side of screen and select Start date and input today's date in both blank boxes (you can double click on them to bring up calendar to click on). Then select OK button.
  • Select Display button.
  • The next screen gives you the option to Print Slips,View Booking or Cancel Booking. Any video to be taken up for the day will appear under these selections. If there is no booking slips to print this screen will say so.
  • Select Print Slips. Take printout and find any videos listed, bring them back to the desk.
  • Go to FUNCTION box and select Checkout
  • Type in patron's name in the search box and check DVD out to them.
  • A box will pop up asking if you would like to change the due date to when the booking is set to end
  • choose Yes. Print due date slip and place inside video case.
  • Go back into Bookings Maintenance (upper right corner under FUNCTION box). Choose ALL and enter today's date in under date on the right hand side of the screen. You have to cancel each booking that you have just checked out and are delivering or placing on the hold shelf. (if you do not cancel them it will keep popping up as if it had not been taken care of).
  • Next go to Media Books SpreadsheetFind the video(s) you have just checked out and input today's date and your initials (first, middle and last).
  • Deliver Videos to RH 246.

*When you print the booking slips for the day remember to go to the media booking request spreadsheet to input the date the video is being delivered/placed on hold shelf for pick up and your initialsvery important!

  • Items that are to be delivered are retrieved and checked out, then delivered. Nothing leaves the Library unless it is checked out!!

Please change the due date for any reserve videos that are being checked out to a professor, either in person or being delivered up to the Faculty Pick Up area in RH 246. (If this is not done the professor will be getting an overdue notice in 3 hours!)

  • Pick-ups are made daily at this time as well.
  • Materials that have been booked and are delivered to AV must be checked out to the patron requesting it.
  • When they are returned, they must be checked in. Before checking in, CHECK INSIDE THE VIDEO AND DVD CASES IMMEDIATELY AFTER IT IS RETURNED TO MAKE SURE THE ITEM IS IN THE CASE.

*Media that is on reserve cannot leave the library, but can be booked and delivered to A.V. for a professor. A professor can also come and check it out for their class (let them know it may be on reserve for more than just their class and that students will be coming into the Library to view it.)
