How to collect money for fines

  • Sign into Sierra
  • Select CHECK OUT (Circulation desk) from the FUNCTION drop-down menu on the right side of the window
  • Scan patron’s barcode number in the “Key or Scan Patron Barcode” box located on the left side of the window
  • Once patron account is pulled up, click the fine tab to display the bill
  • If the patron wants more details concerning the bill, right click on the fine and then select the “view this fine” option
    • A box will pop up showing more details
  • Patron can pay:
    • With cash or
    • With a check made out to "Le Moyne College" 
  • Patron has two options:
    • Option 1 – pay all money owed
    • Option 2 – pay a portion of the fine (this is usually done to get them under the fine threshold)
  • Once patron has decided how much they would like to pay and has handed you the payment, place payment in cash drawer and provide change to patron if needed
    • Highlight the fine(s) the patron would like to pay by clicking anywhere on the row showing the fine
      • Note: Until you highlight the fine, you will not have the option to collect money
    • Click the “collect money” box
      • As long as the number listed in the amount to collect box is correct, click OK
        • If patron is only paying a potion of the fine, you can enter the actual amount being collected in this box and then click OK
          • Example: Fine total is $45.00 but patron only wants to pay $20.00 of it at this time. You can enter $20.00 in the box and the system will deduct that from the fine, leaving the remaining $25.00 fine on the account
    • Print the receipt and give to patron as proof of payment
  • Cash is located in the locked drawer.
    • The key for the cash drawer is located in the grey filing cabinet
    • The key is attached to a wooden block with a label stating "Cash Drawer"

General information

  • Patrons are blocked from using the library when they have billed items on their account
  • Student’s fines are sometimes sent to the bursar's office. When this happens the fines will no longer show in Sierra. If the student wishes to pay the fine they will need to do that directly through the Bursars office.
  • Special patrons who exceed a certain fine threshold are sent to a collection agency
    • If this happens there will be a note on the patron’s account stating “Patron owes fines & fees–Refer Patron to ConServ collection agency 1-585-421-1000”
    • Even though the patron’s fines will still show on their account, they are no longer able to pay though us and must go directly to the collection agency
    • If the patron has further questions, have them speak with the Head of Public Services
