Library Services Student Assistant Guide

What are Card Entry Hours?

In order to provide improved security, the library has instituted card entry hours. During these hours the front doors will be locked. Students, faculty, and staff will be able to gain entrance to the library by using their Le Moyne College I.D in the card swipe installed at the entrance. The card swipe is located on the handicap accessible door on the far right side as you are facing the building. One simply needs to swipe their valid Le Moyne College I.D and the door will be momentarily unlocked.

At the start of card entry hours, the three doors closest to study room 145 will be manually locked using the hex key. The 4th door (handicap door) is set up on an automated schedule. At the start of card entry hours a magnet will automatically engage where by locking the door. The only way the door can be opened is by swiping a valid Le Moyne I.D card in the card reader installed outside of the library. This will momentarily disengage the magnet, allowing the door to be opened.

Typical Card Entry Hours

Monday–Thursday: 8:00 pm to close

Friday: 4:30 pm to close

Saturday: 4:30 pm to close

Sunday: 4:30 pm to close

* These hours will vary during breaks, holidays, etc. and are subject to change without warning due to weather and unexpected closing

Student Assistant Responsibilities

Student Assistants will be responsible for manually locking the three doors at the start of card entry hours, assisting Le Moyne community members and special patrons with accessing the building and making sure security does NOT lock the 4th door (handicap accessible) at closing. More detail for each of these responsibilities is provided below:

Manually locking three doors at the start of card entry hours

The student assistant working desk B when card entry hours begin (8 pm Monday-Thursday, 4:30 pm Friday-Sunday) is responsible for manually locking the three non-handicap doors. These doors are locked using the hex key which is located in the grey filing cabinet in the back work room. It is important that these doors are locked promptly at the start of card entry hours. Please note that the 4th door (handicap accessible), should NOT be manually locked.

Assisting Le Moyne community members and special patrons with entering the building

While Le Moyne community members are able to gain entrance to the building by swiping their Le Moyne I.D. card, there are times where these individuals may have forgotten their I.D. There is a sign posted by the outside handicap accessible door of the Library instructing individuals to call the Library Services Desk in these instances. You must follow the below steps before opening the door for them.

  • Look them up by their name in Sierra and ask them to verify their address to confirm their identity
  • Go to the front door, let them in.
  • Note: If they are not in Sierra or their account is expired, explain that we cannot let them in and to come back during non-card entry hours

Closing

  • Make sure security does not manually lock the 4th door (card entry door) at closing. Staff will need to be able to swipe in that door in the morning in order to open the library and by manually locked that door, entry would be prevented.

Special Patrons

Current special patron will be allowed in the building during these hours but must provide their card as proof of membership. Individuals from the community that don't have an active special patron card or whose card is expired will not be allowed in the library during card entry hours. They will need to return during normal hours to sign up for a special patron card. It's also important to note that special patron cards will not work in the card swipe. In order to gain entrance to the library they must call the Library Services Desk and provide their special patron card number as proof. Once their membership information has been verified the student assistant will open the door for them and allow them into the library.

Unanticipated Early Closures & Problems

Unanticipated Early Closure

In the event that the library must close early due to weather or other circumstances, it is important that the 3 non-card swipe doors be locked. In addition, it is also important that no one be able to swipe into the card swipe door. Reason for this is because the card swipe door is controlled on a schedule. That means that if the library is scheduled to be open until 2 am but suddenly we need to close at 10 pm, the card swipe door would still allow people to swipe into the library up until closing.

The Head of Public Services will normally override the door swipe schedule but if they are unavailable / not informed of the early closure, this will not have been done.

To check, simply try swiping your student card after the closing time to see if it lets you into the building. If it doesn't, nothing else needs to be done. If it does, you need to ask security to override the door swipe schedule to fully lock down the door. If they don't know how to do that or don't have the necessary access, they will need to manually lock the card swipe door. Note - this is the ONLY circumstance where this would be done.

Problems

If there are any problems with the door please see a supervisor/librarian, if available. If not, please call security at x4444. They have some control over the door's locking mechanism.
