Library Services Student Assistant Guide

Opening Procedures

Desk A

  • Opening shift will require you to be at the library 15 minutes before it opens.
    • For example, if the library opens at 8:00 am, you’ll be scheduled to start at 7:45 am
  • Use your ID card to obtain access through the front swipe door.
    • Your ID card will allow you access through the front swipe door 30 minutes before the library opens. For example, your ID would work between 7:30 am and 8:00 am when we open at 8 (you would only be paid from 7:45 on).
  • 15 minutes before opening:
    • Clean the Desk A computer and space around it, sign into it, and bring up Sierra
      • The library student guide, Gimlet, and library home page will automatically load
    • Walk around the library checking the yellow shelves and elsewhere for items that need to be shelved—any that are found should be brought to the desk, checked in and placed on the pre-shelving in call number order. DO NOT TOUCH any unaccompanied purses, backpacks or other packages you may find ***inform supervisor-if no supervisor then CALL SECURITY @4444.
    • Turn on stained glass window (switch is on bottom right side)
    • If there is a show hanging in the Wilson Art Gallery, turn on the gallery lights
    • Turn on second floor lights
    • Turn on the publicity screen/tv.
    • Gate Count (for weekends & holidays only, staff will do during the week)
      • There is a small black box on the wall to the left as you enter the building. 
      • When you come in and before the first patron enters the library, record the gate count number (counter mounted on wall near front doors) here, then press the reset button which is along the bottom edge.
  • Unlock front doors at the time posted 
  • Once the library is open:
    • Check the outdoor book drop, check in items, and place on the appropriate pre-shelving shelves in call number order
    • Newspapers
      • Post Standard
        • Will be in the drop box on Tuesday, Thursday, and Sunday
        • The newspaper will need to be given to the supervisor to be checked in and then taken directly to the current newspaper section in front of the Library Services Desk. Switch the new issue out with the older issue and take the older issue upstairs and place on the newspaper shelf with the rest of the Post Standards
    • Check phone for voicemail
    • Sign into the Service Desk iPad (for head count tally) by following the below steps:
      • Retrieve the iPad and charging cord from the cash drawer
      • Plug the USB charging cord into iPad and then the charging cord into the extension cord behind the Desk B monitor
      • If we have to use the iPad for reference, click on the Zoom app, and the meeting password is: 4454330
    • Shelve periodical book truck located in Technical Services (M-F only)
    • Check and refill staplers; empty hole punch; neaten the area.

Desk B

  • Opening shift will require you to be at the library 15 minutes before it opens.
    • For example, if the library opens at 8:00 am, you’ll be scheduled to start at 7:45 am.
  • Use your ID card to obtain access through the front swipe door.
    • Your ID card will allow you access through the front swipe door 30 minutes before the library opens. For example, your ID would work between 7:30 am and 8:00 am when we open at 8 (you would only be paid from 7:45 on).
  • 15 minutes before opening:
    • Clean the Desk B computer and the space around it, sign into it, and bring up Sierra
      • The library student guide, Gimlet, and library home page will automatically load
    • Run media bookings slips for the day (M-F only) to see if anything needs to be brought over to AV (AV is now in the Faculty Copy Room located in RH 246)
    • Clean study room white boards and mobile white boards using special cleaner kept behind library services desk
  • Once the library is open:
    • Each weekday (Monday - Friday) the book drop located on the bottom floor of Grewen Hall/Reilly Hall and the Faculty Copy Room (RH 246) need to be checked for returns, even if there are no media bookings to deliver.
      • The keys for the book drop and Faculty Copy Room are located in the key basket and has a wooden block attached to it that says "video drop off/pick up key. Grewen Hall drop box".
        • Please make sure to bring this key as well as a basket to transport any returned materials back with you.

Closing Procedures

Desk A

  • 15 minutes before closing:
    • Click off and on first floor lights
    • Check indoor book drop
      • Check in items and place on the appropriate pre-shelving shelf in call number order
      • If any media equipment is plugged in (aka charging) on the grey filing cabinet, unplug it and put the charger and device away in the appropriate case
    • Turn off stained glass windows (switch is on bottom right side)
    • Turn off the publicity screen/tv.
    • If there is a show hanging in the Wilson Art Gallery, turn off the gallery lights
    • Put away Service Desk iPad and charging cord in the cash drawer and lock  
  • All student assistants must leave together, no one leaves early
    • Library staff cannot leave, even if told by security, until Security has been by to verify that the three inside doors are locked and no patrons are left in the building. The reason you are to stay is that a patron may have reserve materials that need to be checked back in before you leave or may want to check materials out of the library. Please do not log out ahead of time. You will be paid if you have to wait longer than the closing time provided it’s been enough time to allow you to round up to the next 15 minutes. For example: if you are only here until 9:02 pm, you wouldn’t be able to round to 9:15 pm but if you are here until 9:10 pm, you can round up to 9:15 pm and be paid for the extra time).
    • Confirm that card entry door has NOT been manually locked
    • After signing out, clean the Desk A computer and space around it
    • Turn off all first floor lights when exiting the Library (Security will turn off second floor lights)

Desk B

  • 15 minutes before closing:
    • Walk around all areas of first and second floor (including the lab, bathrooms, and study rooms) informing patrons that we close in 15 minutes.
      • Move furniture back to its original location--can be done earlier, suggested  during 1am headcount, as both floors have to be rearranged: 
      • 1st floor study rooms 145, 146, 147: 2 chairs only;       176: 8 chairs;       4-top tables separated, with 4 chairs
      • 2nd floor study rooms: A: 9 red-seat chairs;    B, C, D: 5 green chairs;     1-9: 2 wood-seat chairs and no bean bags
      • Lounge areas: neatened;    Carrels: chairs pushed in          
      • Relaxation station: 2 sets of 4 lounge chairs around square table; 1 set of 6 chairs, 3 facing 3. 1 table with 4 chairs
      • Remove bean bag chairs from all study rooms and spread them out.
    • Click off and then back on second floor lights
    • Pick up all markers and erasers from study rooms and bring back downstairs
    • Check the Lab–make sure the overhead projector is off, the instructor computer shut down, and the whiteboard is clean
      • No need to turn off lights, they are on a sensor
  • 10 minutes before closing:
    • If security is not here, call 4444 and ask if they would send someone. If security is not here by 5 minutes to closing, take hex key and lock the three non-card entry doors, if not done so already for card entry.
  • All student assistants must leave together, no one leaves early.
