Library Services Student Assistant Guide

How to Shelve

1. Create a book truck

  • Retrieve an empty book truck
  • Pull items from pre-shelving area and place on book truck in call number order

2. Check in items in order, sensitize, and print shelving list

  • In Sierra, under the Function dropdown menu, select "Check-In (No Patron)"
  • Select a printer to use
    • In the upper left hand corner, under File then Select Printer, select "Standard Printer"
    • Select "Local Printer" and then "OK"
    • Choose the correct printer name from the drop down menu
      • The correct printer name can be found on the front of each printer in the library
      • The printer behind the Library Services Desk is \\LMC-PRINT-P02\LIBSD-HPE40040DN
    • Select "OK"
  • One by one, scan each item's barcode into Sierra to check the items in
    • Proceed through the items in call number order- begin with the first book from the top shelf of your book truck, continue with the second, and so on from left to right on each shelf and from the top to the bottom of the book truck
  • Sensitize each item by running its spine against the sensitizer until the green light turns on and off again
  • In Sierra, select "Print" in the upper right hand corner to create your shelving list
    • Retrieve pages, staple together, and write "Prepared by," your name, and the date in the upper right hand corner
      • Once your shelving list is done, in Sierra, you can select "Close" in the upper right hand corner to clear the list of checked-in items and start over
  • Place shelving list with prepared book truck

3. If there is time, shelve the books in call number order

  • If you cannot shelve the book truck, leave it with its shelving list in front of the empty book trucks
    • This tells the next shelver in that the book truck is made and ready to be shelved
  • If you finish shelving the book truck
    • Write "Shelved by," your name, and the date on the shelving list and place in the box next to the AFD computers labeled "Completed Shelving Lists"
  • If you did not finish shelving the book truck
    • Write "Started by," your name, and the date on the shelving list, mark where you left off (underline, asterisk, etc.), and place shelving list back on the book truck
    • Leave the partially finished book truck with its shelving list in front of the empty book trucks
    • This tells the next shelver in that the book truck is made and ready to be finished
  • If you finish shelving everything

Please note, while shelving-

  • Never place a book
    • on the shelf without checking the call numbers of the books positioned before and after
    • in the first or last position of a shelf or section without checking the call number of the previous or next book, whether it’s the next/previous shelf, section, across the aisle, or "around the bend"
    • on a shelf it is too tall for- spine should rest on the shelf and spine label should face up
  • Never retrieve a book from a shelf by pulling the top of the spine- always push in the books on either side so that the book can be firmly gripped and pulled out
  • If there is time, always re-shelve books lying on shelves
    • If there is not time, place items in pre-shelving
