Drop-in Shifts

Drop-in shift assignments:

The Drop-in shift schedule is set prior to the start of each semester and follows the same schedule week to week. Shifts are input into the Drop-in reference calendar.

When a librarian needs coverage for a shift due to conflict, they send an email out to the other librarians asking for coverage. Once coverage is determined, the librarian who asked for the coverage will make the change in the calendar.

At the start of a Drop-in shift:

Most Drop-in reference shifts are staffed from the Drop-in librarian office, located behind the Library Services Desk. However, there are times when these are done remote. Procedures differ depending which applies.

  • Reference shift staffed from the Drop-in office
    • Go to the Drop-in office, located behind the Library Services Desk
    • Change the photo at the Library Services Desk to the page with your picture
    • Sign in to LibraryH3lp
      • For a regular reference shift, sign in using your individual username and password
        • Make sure the "yes" box is checked for the following queues
          • lemoyne-reference
          • txt-lemoyne
        • It is recommended to use auto logout feature by selecting the "use timer" or "use clock" function
          • This will ensure that you are automatically logged out at the end of your shift
      • For reference shifts where you are also staffing AJCU Virtual Reference, sign in using Le Moyne's AJCU username and password
        • Username

        • Password
          • reference15
        • Make sure the "yes" box is checked for the following queues. This will make it so you get questions from local patrons, as well as AJCU ones
          • ajcu-consortium
          • ajcu-consortium-simple-rollover
          • lemoyne-reference
          • txt-lemoyne

          • This will ensure that you are automatically logged out at the end of your shift

    • Check the LibraryH3lp email (3 mail) queue to see if there are any unanswered questions

      • Note that some of that information is directed specifically at staffing the AJCU virtual reference queue but a lot of it is helpful to staffing our own local queue as well

During a Drop-in shift:

  • When answering reference questions, it might be helpful to look at the relevant Subject or Course Guide, especially in terms of finding databases and sources outside of your subject area

Tracking our Reference questions in Gimlet is essential to documenting this vital service Librarians provide! 

This site also functions like a database and can be searched to find answers to questions previously asked.

ALL questions asked by library staff and students should be logged in Gimlet. It is only with consistent and reliable use of this tool that the statistics retrieved from it will be accurate and valuable.

  • Note: One difference for Librarians is that you will be using your own individual username and password, instead of the general one used by student assistants.

Gimlet Best Practices for Librarians:

  • Log any questions received in Gimlet, including chat questions but not AJCU chat (for other institutions).
  • Include your initials for easy sorting in reports.
  • Tags
    • Please add a minimum of one tag.
    • Program or Department identification with the three letter abbreviation used for course numbers is preferred e.g. ENG.
    • Course number is also extremely useful e.g. HST110.
