Leisure Reading Collection

This collection is located on the first floor and has the location code of "llr" in our library system.  These titles have a loan rule of 3 weeks, unlike the much longer due date for the circulating collection.

One librarian volunteers to make the selections and uses the fund code of bklib (general) when ordering.  The librarian handling collection development for this collec tion should reach out to the staff for ideas and provide a list on recently-purchased titles to keep them informed and promote making suggestions.

This is considered a temporary collection (depending on circulation of each title). The librarian overseeing the collection can decide to withdraw titles or move them to the circulating collection (lbks) because of heavy circulation after a period of time (2-3 years)

Tips for completing the form:
  • Use the "After what date will this no longer be needed?" field to indicate the expiration date of the current license. I believe I-Chene mentioned adding the expiration date information to the Sierra catalog record as well.
  • Use the "Additional comments or information" field at the bottom of the form to indicate the film does not need to be added to course reserves, as the faculty typically link to these streaming videos directly in Canvas or show the film during class. 
  • The call number is requested in the form. Use the catalog record link if available.
We will plan to include a section encouraging faculty to request streaming videos with our general "Reserve" reminder email prior to each semester. Access Services staff will review the license expiration dates in the spreadsheet at this time as well, and contact faculty if a renewal is required for the next semester. 

Textbook Reserves

How to determine which textbooks to purchase

  • Textbooks assigned to specific courses (including e-books) can be found by searching the college bookstores website.  However, not all textbooks are listed on the bookstore website.  In those cases, professors will have to directly inform the library of which textbooks they require.  This can be done by submitting a textbook purchase suggestion form or by contacting their subject librarian.  In addition, students are also encouraged to submit a textbook purchase suggestion form if the library does not have a copy of one of their required texts.  Information submitted through this form is collected and available to librarians through the Textbook Purchase Suggestion Form (Responses) spreadsheet.  Librarians are strongly encouraged to set up a notification alert so they are informed any time a textbook purchase suggestion form is submitted.  

How to purchase a textbook for reserve

  • Purchase requests for textbooks are made the same way as normal book purchases.  The only difference being that, in addition to the fund code, "textbook reserve" and "RUSH" should be listed in the order record so cataloging is aware that this item is a textbook, should be prioritized when processing, and should be given to the Library Services Department to place on reserve once cataloged. Once the order is submitted, please proceed to the next step "How to request a textbook be placed on reserve."
  • What fund code to use?
    • If your materials budget allows, purchase the textbook with the proper subject area fund code (example: BKEDL).  Otherwise, order under the library general fund code - BKLIB.

How to request a textbook be placed on reserve

  • Once a purchase request has been made, or it has been determined that the library already has access to the textbook, the librarian should fill out the Textbook Reserve Request Form.  Information submitted through this form is collected and available to librarians through the Textbook Reserve Request (Responses) spreadsheet.
    • If we already own the textbook
      • The Library Services Department will retrieve the textbook from the stacks and place it in our textbook reserve collection
        • Please note that items in the textbook reserve collection are not assigned to a specific course number or professor since this can change from semester to semester
    • If we don't already own the textbook
      • As mentioned above, the librarian should submit a purchase request for the textbook through the normal channels.  Once that is done, the Textbook Reserve Request Form should be filled out.  The Library Services Department will be informed of this and will keep a look out for the book.  Once it arrives and is cataloged, the book will be given to one of the department supervisors to place on reserve. 

What happens with textbook reserves at the end of the semester

  • At the end of the semester, the Library Services Department will pull stats on all of the textbook that were on reserve that semester and generate a report for each subject librarian.  The report will list all textbooks on reserve for their subject area and their total circulation that semester.  Each subject librarian will have to make a determination which items they plan to keep on reserve the coming semester and indicate that on the report.  This is an opt-in system so if no determination is made, the Library Services Department will assume the item is no longer needed on textbook reserves.  However, for any items that the librarian has indicated should remain on reserve, the librarian would need to take no further steps (meaning they don't need to re-submit a textbook reserve request form) in order for the item to remain on reserve for the coming semester.

  • What if a course I'd like to purchase a textbook for is cross listed with a course from another librarian's subject area?
    • Reach out to the other librarian to coordinate your purchase request to make sure two copies of the same text are not being purchased
